Job title - Executive Assistant

Our client, a leading banking institution based in London, is seeking an experienced Executive Assistant to provide comprehensive administrative support to multiple Executives and the International RISO in the region. This is a 12-month fixed-term contract position, with the possibility of extension.

As the Executive Assistant, your primary responsibility will be to anticipate and relieve management of administrative tasks, making informed decisions, and compiling relevant information for the executives. You will handle a wide range of diverse and confidential duties, often managing conflicting objectives, projects, or activities simultaneously.

The successful candidate will thrive in a dynamic business environment and possess excellent calendar management skills while ensuring executives are prepared and punctual for meetings and other engagements. Your ability to anticipate the needs of our client's executives is vital for success in this role. Additionally, you will be expected to handle phone calls, manage travel itineraries, process expenses, and create agendas and other necessary documents. Collaboration with our client's wider regional Business Operations team and other executive assistants will also be essential.

Responsibilities:

  • Provide comprehensive support, including phone coverage, calendar management, and coordination of internal and external meetings.
  • Make all necessary arrangements for business travel, including visa arrangements, meeting scheduling, and expense processing.
  • Communicate and interact effectively with individuals at all levels of the organisation and across various business functions.
  • Serve as a knowledgeable resource for company policies and procedures.
  • Collaborate with the Business Operations team to ensure a smooth onboarding experience for new employees, including updating organisational charts and coordinating system access.
  • Provide administrative and logistical support for employee engagement activities in the region.

To succeed in this role, you should have:

  • Previous experience providing administrative support at the senior management level.
  • Strong time management and prioritisation skills.
  • Advanced proficiency in Outlook and MS Office programmes (Excel, Word, PowerPoint).
  • Exceptional organisational skills with keen attention to detail.
  • Ability to thrive under pressure and meet deadlines.
  • Excellent written and verbal communication skills.
  • Experience with Concur or similar tools for travel and expense processing.
  • A strong work ethic and a proactive "can-do" attitude.
  • Ability to learn quickly and adapt to new responsibilities.
  • Flexibility and adaptability in a fast-paced environment.
  • Willingness to take ownership and responsibility.

As an integral part of the EMEA Regional Information Security Office team, reporting directly to executives in the region, you will play a key role in supporting our client's strategic objectives.
