The Service Coordinator is responsible for managing and coordinating reactive repairs and planned maintenance tasks. This role involves close interaction with engineering teams, suppliers, and customers to ensure assets are returned to service promptly.

The Service Coordinator will oversee the scheduling, execution, and documentation of repairs and maintenance activities, ensuring compliance with customer contracts and company procedures.

Key Responsibilities:

  • Allocate repair jobs to the appropriate engineers.
  • Ensure all tools are evaluated within one working day by coordinating with engineers, arranging workshop collections, or organising sub-contractors.
  • Schedule planned maintenance tasks on customer assets in accordance with customer contracts.
  • Ensure quotations for surveyed repair jobs are sent out within three working days of the engineer's report.
  • Clarify any unclear requests with engineers, order necessary spares, or arrange sub-contractors as required.
  • Prepare and format quotations accurately, ensuring correct margins and labour costs are applied.
  • Process customer purchase orders promptly, adhering to ISO procedures.
  • Complete contract review forms for each order and send order acknowledgements to customers.
  • Create purchase orders for suppliers, ensuring accurate pricing and delivery details.
  • Receipt goods upon arrival and inform the engineering team of the job number, site, and location of items.
  • Arrange efficient logistics for the movement of spare parts and customer goods.

Skills and Qualifications:

  • Strong organisational and coordination skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in using maintenance management software (e.g., Key & Motion).
  • Ability to manage multiple tasks and prioritise effectively.
  • Detail-oriented with a focus on accuracy.
  • Experience in liaising with engineering teams, suppliers, and customers.
  • Ability to work under pressure and handle critical situations.
