Summary

We're recruiting a Business Services Co-ordinator to join the Experiences and Partnerships team at the National Trust. This is a fast-paced exciting role, supporting two Heads of Department with their administrative needs. You’ll be looking after their diaries, planning for business travel, preparing and distributing documents for meetings and attending some to take notes at. 

What it's like to work here

The role reports into the Directorate Services Manager and operates as part of the wider Business Services team across the directorate. Day to day, your work will be generated from two busy Heads of Department, with ad hoc requests from members of the team.

The Business Services team are friendly, collaborative, and great fun to work with. We meet every Wednesday in the office (Swindon) and more frequently if needed. There will be plenty of opportunities for you to visit our places and attend meetings/site visits too!

Your contractual location will be our head office in Swindon and there will be an expectation for you to attend the office. However, there is flexibility on where you are based at other times. You will be required to work at a National Trust location for 40-60% of your working week. This will be discussed in more detail at interview. 

What you'll be doing

A typical day in this role will be managing diaries, anything from arranging meetings with senior stakeholders to sorting out clashes well in advance. As a national organisation, we often need to travel, so you’ll be planning business travel in the most carbon efficient and cost-effective way. 

You'll also be familiar with pulling together meeting agendas and taking notes at remote meetings.

We're looking for someone who can work at pace, is confident at working with senior stakeholders and has a passion for providing exceptional service. The role of a Business Services Co-ordinator is the glue that holds the team together – you’ll be the go-to person who enables the team to deliver.

  • Strong customer service skills
  • Experience in a busy office environment looking after people
  • Ability to multi-task, prioritise own workload and maintain confidentiality
  • Good written and verbal communication skills
  • Great team player. Flexible and customer focused.
  • Advanced IT skills (Microsoft Office)
  • Awareness and understanding of the core purpose and work of the National Trust
