Office Administrator

Our client is seeking a part-time Office Administrator to join their small team in Oxford. Working in a standalone role, you will provide administrative support to the team and ensure the site is operating smoothly. 

This is a part-time role working 25 hours per week. The days and hours of work are open to negotiation but need to be a set pattern once agreed.

Office Administrator Responsibilities

This position will involve, but will not be limited to:

Generate purchase orders from information provided and input on Sage.
Liaise with finance on any payment queries and purchases for the site.
Managing all maintenance, which includes negotiating with suppliers and contractors.
Comparing costs for services and goods and approving options with the Financial Controller.
Maintain an adequate inventory of equipment and office supplies.
Ensure compliance with health and safety and security regulations, including fire regulations.
Carry out monthly site checks to ensure the building is in a fit state and liaise with the landlord should maintenance works need to be carried out.

Office Administrator Essentials

Administrative experience in a similar office-based role
Highly organised, and demonstrate a keen eye for detail
The ability to multitask, managing a large volume of POs and invoices
Familiarity with Sage or financial processes is highly desirable
Adaptable and approachable
Excellent communication skills and the ability to work independently while using initiative
Location

This is a part-time role, fully office-based in central Oxford. The hours are 25 per week which can be split over 4 or 5 days ideally. There is free parking onsite, however, spaces are limited and come on a first-come first-serve basis.
