Our client, a dynamic and well-established business based in London, is seeking a skilled and organised Office Administration Assistant to support their growing team. This is a fantastic opportunity for an individual who thrives in a fast-paced environment and enjoys ensuring the smooth running of office operations while providing excellent client service.

Key Responsibilities:

As the Office Administration Assistant, you will:

  • Answer telephone calls, record messages, and maintain a call log.
  • Manage calendars and diaries, organising meetings and updating schedules.
  • Prepare meeting rooms, arrange refreshments, and greet clients in a professional and friendly manner.
  • Handle incoming and outgoing post, keeping accurate records.
  • Ensure the office is kept tidy and report any issues to management.
  • Maintain stocks of office refreshments and supplies.
  • Complete daily digital filing and organise office filing systems.
  • Liaise with IT providers for issue resolution or updates.
  • Action and forward admin emails appropriately.
  • Work with building management and facilities as needed.
  • Organise quarterly and annual staff events.

Client Work:

  • Assist in onboarding new clients, including the preparation of Anti-Money Laundering documents.
  • Ensure client details are updated in work management and practice management software.
  • Keep online records and contact details current and accurate.
Requirements & Skills:
  • Proficiency in MS Office, especially Word and Excel.
  • Self-motivated with the ability to apply skills to new tasks.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills and attention to detail.
  • Ability to manage time effectively and work under pressure.
  • A collaborative team player with a positive approach.
