Job Description

This role is primarily responsible for providing full end to end HR administration and coordination. In addition, providing project and advisory support to the Keltbray business and HR team.

Duties & Responsibilities

HR Administration:

* Producing administration for employee lifecycle changes (including but not limited to pay reviews, promotions, probation pass, changes of benefits, line managers, fixed term contract extensions, leavers)

* Produce administration for Contract for Service agreements, ensuring compliance with IR35

* Input and maintain all employee data in Cascade and the electronic employee filing system in a timely and accurate manner

* Liaise with the payroll team on all monthly and weekly payroll changes

* Respond to reference and tenancy requests

* Provide data reports to the HR team and wider business as required (e.g. headcount, starters, leavers, benchmarking etc.)

HR Coordination:

* Act as the first responder for all tickets received on Zendesk within the required

* SLAs, assigning to other members of the team/other departments where needed

* Overseeing the new starter process in the Networx onboarding system (new employee records, chasing employees documents, ensuring all stages of onboarding are completed in the required timescales, including RTW checks via Experian)

* Coordinate company wide communications using Docusign 'bulk send' function

* Coordinate the compliance for new & existing visa/sponsorship

* Coordinate the Keltbray Inductions bi-monthly (including arranging the invites for new starters, liaising with the CEO's EA for dates and times, and hosting the sessions).

* Maintain a library of answers for Pre-Qualifying Questionnaires for the HR team and providing answers to PQQs as necessary.

* Provide advisory administrative support to the HR Advisory and Management team when required (including minute taking in meetings, conducting exit interviews, drafting letters for family leave, flexible working, redundancies, disciplinaries etc.).

* Send employee surveys, such as onboarding feedback surveys, engagement surveys

* Coordinate ad-hoc DBS checks as required via UCheck

* Update and maintain internal HR Admin process documents

* Support and review HR policies and procedures as required

* Update and maintain internal letter templates (admin and advisory) ensuring they are in line with internal policies and procedures, current legislation and best practice

* Medical administration and coordination as required (holiday cover)

HR Projects:

* Support the Head of HR in coordinating HR projects relating to the people strategy.

* Play a pivotal role in supporting the successful planning, design and execution of key HR projects.

* Assist project team members by organizing project meetings and other events.

* Coordinate and monitor the projects tracker and provide the necessary support to the HR team.

* Projects may include but are not limited to: digital transformation, performance management, health & wellbeing, reward, employee relations and change management.

Requirements

Essential:

- CIPD Level 3 Qualification or equivalent

- 1 - 2 years' experience of working in a HR related role

- Excellent written and verbal communication skills

- Knowledge on employment law

- Excellent Microsoft skills including Word, Excel and Outlook

- Excellent attention to detail, organisation and prioritisation

Desirable:

- CIPD Level 5 Qualification

- Degree in Business Administration or HR management.

- Desire to develop a career in HR

- Experience using Cascade, Networx, Zendesk, Docusign, Experian

- Experience running reports and managing / presenting data
