Our client is currently looking to hire an experienced Project Administrator to join the team. This is an excellent opportunity to join a family run business that has thrived over the last 30 years and contiunes to expand.

  • Ensure project files and records are organised and accessible to all team members and wider stakeholders and sub-contractors, where necessary.
  • Scheduling appointments, meetings
  • Minute taking
  • Dissemination of project related information to clients and team and recording of the same.
  • Updating trackers and project reports as necessary.
  • Help to maintain and utilise project management tools and systems, such as project management software, SharePoint, CDE’ platforms etc
  • Assisting the SHEQ and PM with the preparation and distribution of Health and safety documentation including Construction Phase Plans, logistics plans and H&S files and record on SharePoint.
  • Collating and preparing documentation for the O&M manual and handover.
  • The collation of product data sheets and specifications/certs.
  • Maintain and store all project documentation including that produced on site.
  • Preparing and updating action trackers as directed by the Senior project coordinator.
  • Preparation of project reports
  • Supporting the project teams in general project management tasks as required
  • Dealing with suppliers and requesting quotes
  • Work with the sales team in the preparation of bids and bid writing.
  • Producing and updating case studies for marketing material.

Ideal candidate

  • Previous experience in similar role, preferably in construction
  • Ability to carry out general administration tasks to high standards with limited or no supervision.
  • Excellent communication skills both verbal and written. Ability to communicate effectively both internally and with wider stakeholders.
  • Ability to multitask and work in a fast-paced environment, managing own workload effectively.
  • Team player, can do attitude, offer solutions.
  • Proficiency with Excel, Microsoft, SharePoint and ability to learn new software as required.
  • Attention to detail.
