Purchase Ledger Administrator

Monday - Thursday - 8am - 5pm
Flexi Friday - 7am/8am - 4pm/5pm

Working with our clients, we are looking to recruit a diligent and organised Purchase Ledger Administrator to support their Finance Manager with the finances and accounts of the business. This role requires handling private and confidential information, so discretion and professionalism are essential.

Key Responsibilities:

* Matching, checking, coding, and processing supplier invoices, ensuring they are appropriately authorised and posted to correct nominal codes and projects.

* Setting up new supplier accounts and maintaining/updating existing account data.

* Reconciling supplier statements.

* Investigating purchase ledger queries, chasing missing invoices, and maintaining general ledger housekeeping.

* Providing support by producing key reports and journals for month-end and year-end accounting.

* Assisting with internal costing queries and providing cost reports to the project team.

* Acting as the first point of contact for all supplier ledger enquiries.

* Handling accounts phone calls, supplier queries, and credit note requests.

* Assisting with compiling payment runs, updating the accounting system, and sending remittance advice to suppliers.

* Supporting the management of the purchase orders process.

* Assisting with the sub-contractor ledger and associated subcontractor compliance processes.

* Processing staff expenses.

* Assisting with credit card templates and entering data onto the accounting system.

Experience Required:

* A minimum of three years' experience in a similar role.

* Excellent time management skills and the ability to prioritise a high volume of work.

* Experience in managing multiple tasks effectively.

* A strong awareness of security and potential avenues for fraud.

* Conscientious, flexible, and responsible with a positive working attitude and a willingness to support colleagues.

Qualifications and Experience:

* Knowledge of the Construction Industry Scheme (CIS) and IR35 legislation is advantageous.

* Previous experience in project costing would be beneficial.

* Entry-level AAT qualification is advantageous.

* GCSE Maths and English at grade C or above.

* Proficiency in Microsoft Office, particularly Excel and Word.

* Experience with accountancy software such as Axim or Sage.
