About the Firm:
Our client is a distinguished law firm based in London, known for delivering exceptional legal services. They are seeking a detail-oriented and proactive Administrative Assistant to join their team and provide vital support to ensure the smooth functioning of daily operations.
Role Summary:The Administrative Assistant will support the firm’s day-to-day activities by performing a variety of administrative and clerical duties. This role requires a highly organised individual with excellent communication skills, capable of managing multiple tasks in a fast-paced legal environment.
Responsibilities:
- Reception Duties: Greet clients and visitors, answer incoming calls, and manage general inquiries professionally and courteously.
- Document Management: Prepare, organise, and maintain documents, including photocopying, filing, and scanning as needed.
- Scheduling Support: Assist in coordinating appointments, meetings, and travel arrangements for attorneys and staff members.
- Correspondence: Draft and proofread basic correspondence and email communication, ensuring accuracy and professionalism.
- Office Supplies: Monitor and order office supplies, maintaining adequate stock for daily operations.
- Mail Handling: Sort, distribute, and handle incoming and outgoing mail, including managing courier services as needed.
- Billing Support: Assist with preparing invoices and expense reports, working closely with the accounting team to ensure accuracy.
- Data Entry: Maintain and update databases and records, ensuring that information is up-to-date and accessible.
Requirements:
- Experience: At least 2 years of experience in an administrative role, preferably within a law firm or professional services environment.
- Education: High school diploma or equivalent; additional certification in office administration is a plus.
- Skills: Proficient in MS Office Suite (Word, Excel, Outlook) with excellent typing and data entry skills.
- Attributes: Strong attention to detail, excellent organisational skills, and the ability to manage multiple tasks and deadlines. A positive, team-oriented attitude is essential.
