One of my leading clients are actively recruiting for a proactive and organized Contract Support Administrator to join their team on a flagship facilities maintenance contract. This role is integral to ensuring the smooth operation of my client's hard services account on a critical contract in London, supporting both the onsite team and contract managers in delivering exceptional service to a high-profile client.
Key Responsibilities: - Administrative Support: Provide comprehensive support to the contract management team, assisting with day-to-day administration, scheduling, and documentation to maintain efficient contract operations.
- Client Communication: Act as a key point of contact for client inquiries, ensuring clear and timely communication to resolve issues and provide information as needed.
- Financial Tracking: Assist with invoice processing, purchase orders, and cost tracking to support budget management and financial accuracy.
- Data Management: Maintain and update records, ensuring that all compliance and contract documentation is accurate, current, and easily accessible.
- Team Coordination: Schedule maintenance activities, liaise with engineers, and ensure prompt reporting of job completions, helping to maintain high standards of service delivery.
- Reporting: Generate regular reports on contract performance, job progress, and other KPIs for contract managers and the client.
Requirements: - Experience in an administrative role within facilities management or a similar industry is preferred.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication skills to manage client interactions and team coordination.
- Proficiency in MS Office (Excel, Word, Outlook) and familiarity with CAFM systems is an advantage.
- Positive, proactive attitude with a problem-solving approach.
