We are seeking a highly organized and efficient Personal Assistant to support our client's executive team in managing their daily operations and ensuring their responsibilities are executed smoothly. The ideal candidate will speak English and German to a fluent level, possess exceptional multitasking abilities, attention to detail, and a proactive approach to problem-solving. As a Personal Assistant, you will play an integral role in facilitating communication, managing schedules. You will coordinate meetings, prepare necessary documentation, and serve as a liaison between executives and other stakeholders. This position requires strong time management skills, as well as the capacity to prioritize tasks effectively in a fast-paced environment. Main duties:
- Manage executives' calendars and schedule appointments
- Coordinate travel arrangements, including itineraries and accommodations
- Prepare and organize documents for meetings and presentations
- Act as a point of contact between executives and clients or vendors
- Handle correspondence and communications on behalf of executives
- Conduct research and compile information as needed
- Assist in project management tasks and ensure deadlines are met
Requirements:
- Min 1 year of experience as a personal assistant
- Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint
- Advanced typing, note-taking, recordkeeping, and organizational skills
- Ability to manage internal and external correspondence
- Working knowledge of printers, copiers, scanners, and fax machines
- Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding
- Excellent written and verbal communication skills
- Exceptional interpersonal skills
- Fluent in English and in German
- Driving license
