THE ROLE

Admin Business Partner - London

You will build strong professional relationships with colleagues within the Business Unit (BU) and the London office, and you will support the growth initiatives of the firm. You will be responsible for identifying, implementing, and managing new innovative ways of working to maximise efficiency and quality of delivery for the team's business operations. You will anticipate the needs of the Business Unit Head, Business Excellence team and wider team members, helping them stay focused on their projects by resolving operational and administrative issues effectively and efficiently.

Business unit specific tasks:
* Act as main administrative point of contact for the BU and assist with fielding administrative type queries, requests and actions as appropriate
* Develop knowledge and understanding of the firm's technical and operational methods, processes, procedures and standards of work required.
* Proactively assist and manage BU strategic administrative projects through to successful completion, ensuring administrative guidance, reminders and updates are given to those involved.
* Conduct research, gather data, prepare reports and assist with administrative tasks to support with specific initiatives run by the BU.
* Identify internal process improvements, actively promote ideas and suggestions and participate in the firm's commitment to continuous improvement.
* Understand the business preferences and priorities of your leaders to best support their time.
* Imperative calendar management with strong attention to detail for members of the BU Leadership Team.
* Support your leaders in maintaining relationships with key people to ensure progression in communications and to surface and pursue opportunities for collaboration.
* Prepare, co-ordinate and produce ad-hoc, bespoke internal documentation, which align with the specific BU strategic goals (following branding guidelines, where appropriate).
* Assist with special projects as needed.
* Develop and implement systems, policies and processes to ensure that operational management within the business has the highest levels of integrity, helping to maximise efficiency and profit margins.
* Actively manage proposals and tenders including timelines, document formatting and proof reading of tender submissions to ensure customer requirements are delivered.
* Co-ordinating team training records and timetables, arranging training courses and collating reference material for the wider team.
* Manage internal presentations, thinking outside the box to achieve engaging and interactive communications with the team.

London office tasks:
* Ensuring the wider business are aware of London office protocols, sending periodic reminders, where needed.
* The main point of contact for London office management, both externally and internally. Managing the external office portal to organise room booking and visitors for AAB staff.
* Act as main point of contact for AAB staff/visitors and Industrious for the London office, including on the ground support to greet AAB internal and external visitors , where required.
* Ensuring London new starts and leavers are supported with IT equipment and relevant access
* Managing the key stakeholders to ensure London office facilities are managed.
* Ensuring London office team members are compliant with company policies and procedures and all relevant signage is displayed
* Support London Head with issuing communications to AAB group with any specific London office updates in connection with visitors/rooms/significant process changes.
* Issue communications to the London office team with any updates from Industrious, such as closures, pass information, events etc.
* Plan and arrange external London based social events and team building activities, with associated communications.
* Assist Head of London with any other ad-hoc administrative support and administrative requirements as required.
