Role -Facilities Operations ManagerLocation- 4 days - Waverley Market, Edinburgh and 1 day - Scottish sites in Perth & BarrheadSalary- £40k-£45k Your role as a Facilities Manager:You will be responsible for delivering exceptional service management, compliance, and health & safety of the outsourced FM services of Technical, Security, Cleaning and Specialist Services. Working alongside the Centre Manager, Senior FM and the Property Team to deliver the service charge budgets and projects across the shopping centre and designated Scottish sites.Candidates with experience in FM within shopping centres will be very well received.Your duties and responsibilities as a Facilities Operations Manager:

  • Supervise the day-to-day operation of the Centre/ sites and maintaining operational excellence.
  • Overseeing and inspect contractors work to monitor the performance of contracts (this may include security, maintenance, landscaping, cleaning contracts etc) and check that the agreed service level is being met.
  • Review contracts periodically and as necessary manage the tender process for procuring new contracts to achieve the best balance between cost and service quality.
  • Act on the client's behalf to raise any concerns with suppliers/contractors.
  • Put in place Service Level Agreements (SLA's) and monitor performance.
  • Ensure work is carried out in accordance with clients Health & Safety policy and procedures.
  • Manage the delivery of the maintenance program obtaining competitive quotes for works where necessary and working closely with on-site contractors for optimal resource deployment. Arranging periodic/ad hoc repairs and maintenance work.
  • Ensure the Helpdesk information is correct and up to date and review reports weekly and follow up to resolve as required.
  • Support tenant inspections and the fit-out process for new lettings; contributing to the overall success of the Centre.
  • Manage within the financial restraints of the Service Budgets, tracking ongoing expenditure against budget and ensuring efficient communication of planned works at the Centre.
  • Check and confirm quotations for works prior to approval.
  • Construct and deliver monthly reports with the PM team/ Centre Manager for the Centre.
  • Submit ad-hoc QA Audit sheets, conducted on works conducted
  • Ensure that all PPM is forecasted, planned, and implemented by the service provider.
  • Review building management system to assess how the electrical appliances in Waverley Market are operating and take action to correct if necessary.
  • Assist with shop fit's and with agreed Landlord works.
  • Assist with insurance claims.
  • Utilise the H&S platform of Quooda to report on Compliance across the site.
  • Adopt the Health and Safety management plan and maintain health and safety standards.
  • Monitor compliance with Health and Safety regulations.
  • Carry out risk assessment and audits to ensure standards are maintained.
  • Manage the completion of any action points arising from assessments and audits to maintain health and safety compliance.
  • Maintain records of assessments and audits
  • Develop, maintain, and test disaster planning procedures to cover all emergencies.
  • Ensure the service providers maintain all management records such as: fire risk and water hygiene.
  • Attend regular meetings with Client/ PM Team to prioritise action required.
  • Be a trusted source of innovation for the client in service delivery.
  • Attend monthly review meetings with Team, providing H&S report and report to Cm, SFM, Surveyors and Client.
  • Agree out of hours requirements and ensure adequate cover provide.
  • Ensure adequate cover for holidays etc. and notify the CM, SFM & PM (and client if required)

To be successful in your role, you should have the following skills and experience:

  • FM experience within shopping centre
  • Ability to commute to Waverley Market, Edinburgh at least 4 times per week
  • IOSH/NEBOSH
  • Facilities Management qualification
