Are you a seasoned Facilities Fanatic with a knack for leadership, an eagle eye for detail, and a wealth of service management experience? Look no further!

My client is looking for an individual who can lead a team, ensure seamless operations, top-notch maintenance, and exceptional service delivery.

Main Duties:

  • Collaborate with the Services Manager to develop and deliver strategic departmental aims and objectives, emphasising sustainability and customer focus.
  • Manage the distribution and collection of internal and external mail
  • Efficiently oversee fleet of vehicles, external vehicle/coach hires and Portering services.
  • Coordinate logistics for exams, conferences, hospitality events, and waste collection.
  • Implement KPIs and best practices in all areas, supporting teams to provide quality and efficient services.
  • Lead and manage teams, reviewing workloads, resources, and training needs.
  • Develop and communicate new policies and procedures, conduct inductions, and assist with recruitment processes.
  • Oversee external vehicle hires, leasing, and purchasing, as well as mail services.
  • Ensure fleet compliance with legislation and guidelines.
  • Maintain complex machinery and business systems, recommending renewals and updates.
  • Coordinate Health and Safety within the department, including Managing Occupational Road Risk.
  • Collaborate with the Insurance Manager to ensure fleet compliance and proper accident reporting.
  • Provide advice on tariffs and services from external companies.

Required Knowledge, Skills, Qualifications, Experience

  • Excellent organisational, co-ordination and team-management skills 
  • Experience in managing supplier relationships and understanding management information statistics in order to understand and respond accordingly to review services.
  • Must have extensive experience of managing successful teams and develop leadership skills with the ability to instil confidence in team leaders
  • Strong negotiating and persuasion skills and ability to think ahead in order to shape team/service
  • Ability to write clearly and concisely when communicating to a wide range of people at all levels, ensuring a high level of accuracy and attention to detail is delivered.

Planning and organising

  • Co-ordinating, motivating and organising the team

Problem solving and decision making

  • Work closely with Estates and Infrastructure to ensure effective use of space and facilities.
  • Will be expected to be the key communication point for staff and external service providers, and will be expected to take responsibility for departmental queries and problems that arise; resolving these and implementing procedures to eliminate their recurrence.
  • Proactive in anticipating operational challenges, implementing policies and developing initiatives to the advantage of the department and ability to respond to changing priorities as they occur.

Internal and external relationships

  • The post-holder will need to be a good communicator with the ability to establish and maintain effective working relationships across the community and key stakeholders.
  • Communications and cascading information above and below structure, explaining and translating policies and decisions to staff, providing comment and feedback to influence decisions.
  • Supplier management will be an integral part of the role and the successful candidate will hold regular service review meetings with key stakeholders alongside the Services Manager.
