Our client is looking for a Logistics Administrator to join their team. They will be responsible for ensuring the smooth and efficient coordination of logistics operations, including order processing, documentation, and communication with customers.The role demands a proactive approach to managing timelines, monitoring cargo movements, and ensuring that all logistics processes are completed within required timeframes. This position requires availability after hours and over weekends to meet critical deadlines, minimise delays, and avoid additional costs such as storage fees.
Order Management:
Receive and process orders, ensuring timely arrangements for loading, packing, collection, and deliveries within specified timeframes.
Maintain accurate and up-to-date records of all orders, shipments, and related activities.
Documentation:
Issue all necessary documentation for loads, including delivery notes, invoices, and customs-related paperwork.
Compile packing lists, stock sheets, and other required reports for internal and external stakeholders.
Pre-advise container details as needed.
Customer Communication:
Maintain constant communication with customers, providing updates on the status of their orders.
Address and resolve customer queries promptly, ensuring high levels of satisfaction.
Cargo and Deadline Management:
Monitor stack dates and ensure all cargo is delivered, packed, or unpacked before deadlines.
Coordinate with relevant teams to avoid delays or storage fees.
Truck and Port Scheduling:
Schedule and manage truck appointments at the port for deliveries and collections.
Monitor truck movements to adjust appointments as necessary to ensure timely execution.
Time Management: Ability to prioritise tasks and manage tight deadlines effectively.
Organisation: Strong attention to detail and ability to manage multiple orders and processes simultaneously.
Communication Skills: Excellent verbal and written communication skills to engage with customers and internal teams effectively.
Problem-Solving: Proactive approach to identifying and resolving logistical issues.
Technical Proficiency: Competency in Microsoft Office Suite (Excel, Word, Outlook) and logistics management software.
Adaptability: Flexibility to work after hours and weekends as required to meet critical operational needs.
Minimum of 2-3 years in a similar logistics or administrative role.
Familiarity with port operations and truck scheduling is highly desirable.
