Salary: £25000 - £27000/annum negotiable depending on experience

Connect it Utility Services are a growing multi utility company; to help support our success we are seeking a motivated and organised Operations Administrator based in our head office in Hedge End, Southampton.

The Operations Administrator supports and monitors projects on the electricity network, e.g. shutdowns and supply interruptions. Working closely with key stakeholders such as customers, Senior Authorised Persons, Project Managers, and framework partners, the role ensures excellent service delivery and minimal disruption to customers.

The ideal candidate is organised, detail-oriented, and experienced in administrative work.

Construction or Utilities knowledge is a bonus but not necessary for this role.

Key Responsibilities:

* Administrative Support: Provide administrative support for projects involving planned service interruptions. Engage with stakeholders to manage the project with minimal customer impact.

* Outage Networks: Identify outage networks to facilitate planning activities.

* Customer Coordination: Administer and coordinate activities, including timely customer notification by telephone. Follow up as necessary, discuss the impact of planned works, and assess customer needs to mitigate potential issues.

* Works Preparation: Agree arrangements with customers, providing interruption packs with related drawings, identifying network segments removed from supply, and noting customers requiring assistance. Meet notification deadlines.

* Monitoring and Reporting: Monitor progress, chase updates every 7 days, and once approved, arrange bookings and customer notification letter deliveries with relevant plans and instructions.

* Notification Handling: Print and arrange for notification letters. Address customer inquiries, reassure them of the work programme, and escalate potential issues as needed.

* Project Sheets: Track project progress, ensuring customer details and unique identifiers are recorded. Ensure businesses are notified 30+ days before interruptions. Maintain document packs.

* Approval Tracking: Highlight jobs not approved within 14 days of the planned start to the Senior PM for review. If no decision is made 7 days before work starts, escalate to the Senior PM for action.

* Regulatory Compliance: Work with customers to ensure compliance with statutory, regulatory, and company standards.

* Job Pack Closure: Review job packs, ensuring completed works are checked and approved. Report delays in providing required information to the Senior PM for escalation.

* Continuous Improvement: Review work activities continuously and identify opportunities for improvement.

* Additional Support: Assist the Senior PM with other activities as required.

Qualifications and experience:

* Minimum 2+ years of administrative experience is required.

* Previous experience and understanding of working alongside regulated DNO's, delivery of underground and/or overhead lines activities is ideal but not essential.

* University degree preferred but not required, relevant skills and experience will be considered.

* Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).

* Knowledge of Salesforce CRM system is advantageous.
