We are seeking a highly organised and detail-oriented individual to join a leading legal 500 law firm based in Birmingham as a Pool Secretary. The successful candidate will be responsible for providing administrative support to the pool management team, ensuring the smooth operation of the facility, and providing exceptional customer service to colleagues and clients.

The successful candidate will have at least 2 years experience as a legal secretary and would be working as a general office assistant, taking initial enquires, taking informative notes and pass on the relevant information to the correct teams and individuals, along with some hands of work as and when required.

Key Responsibilities:

Drafting and preparing various types of correspondence, documents, and forms.
Managing matter files by opening, updating, and closing them while accurately recording client information.
Creating invoices and managing financial records.
Ensuring efficient organisation of both new and ongoing files using an electronic case management system (Tikit).
Providing lunch coverage for the reception area at the Birmingham office.

About you:

A minimum of 2 years of recent experience as a legal secretary in a UK law firm
Familiarity with different legal sectors, encompassing both contentious and non-contentious work.
A warm, approachable demeanor and a spirit of teamwork.
Strong typing abilities, capable of swiftly and accurately producing legal documents from handwritten notes or digital dictation with minimal oversight.
Highly organised, with a keen attention to detail and a commitment to following established processes.
Exceptional attention to detail.
Demonstrated capacity to meet deadlines and targets while adapting to shifting priorities.
Experience with Tikit (or a comparable case management system) and BigHand dictation is a plus, but not mandatory.
Polished telephone etiquette; adept at accurately taking messages from both prospective and current clients and conveying them promptly.
Proficient IT skills and a quick learner when it comes to new systems.
A positive, enthusiastic approach to work and a strong ability to manage oneself effectively.
