As a Legal Secretary, you will be an integral part of their administrative team, providing invaluable support to various legal departments, mainly supporting the residential Property deapartment. Your versatility and attention to detail will be crucial in ensuring the smooth and efficient functioning of their firm. You will have the opportunity to work closely with diverse practice areas, experiencing a fulfilling and rewarding career in the legal field.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative assistance to lawyers and legal professionals within different practice areas. This includes word processing, filing, photocopying, and managing correspondence.
- Diary and Calendar Management: Efficiently manage schedules, appointments, and court dates for multiple attorneys, ensuring they are well-prepared for their meetings and hearings.
- Client Communication: Handle incoming calls and inquiries, delivering exceptional customer service to clients and other stakeholders.
- Document Management: Organize and maintain legal documents, ensuring they are up-to-date, easily accessible, and comply with the firm's document retention policies.
- Travel Arrangements: Coordinate travel arrangements and accommodation for attorneys attending out-of-town hearings or meetings.
- Time Recording: Accurately record and process billable hours and expenses for assigned attorneys.
- Case File Management: Assist in the preparation of legal documents, court forms, and bundles, collaborating closely with attorneys and paralegals.
- Team Support: Offer support to other members of the administrative team during busy periods, fostering a collaborative and positive work environment.
Qualifications and Experience:
- Previous experience as a Legal Secretary or in an administrative role within a law firm
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in Microsoft Office Suite and other legal software applications.
- Strong communication skills and a professional telephone manner.
- Detail-oriented with a high level of accuracy in data entry and document management.
- A proactive and adaptable approach, able to thrive in a fast-paced environment.
