Operational Accounts Assistant

Ash Consulting are working with a busy business services provider, based in Ecclesfield (S35) who seek to appoint an experienced accounts assistant to assist in the day to day tasks of their Sales Ledger in line with new customers as well as changes and renewals to existing customer accounts. The role will involve dealing with customer queries via telephone and email

Roles and Responsibilities

Duties and key result areas are:

• To be responsible for raising, posting and sending of sales invoices/credits at all stages to meet the team's targets and deadlines.

• To be responsible for monitoring and updating the suspended companies list

• To be responsible for taking payments over the phone and ensuring records are updated accordingly.

• To be responsible for the Direct Debit reconciliation in a timely manner.

• To be responsible for accurately entering customer information in the relevant systems.

• To be responsible for dealing with incoming accounts emails from customers.

• To be responsible for dealing with accounts incoming calls and enquiries from customers.

• To be responsible for the management of debts following set procedures to chase debts.

• To be responsible for the raising, posting and distribution of invoices.

• To produce a monthly report to the Managing Director showing monthly figures.

• To promote features of the company to all customers.

• To support the training of new Operational Accounts team members.

• To be proactive in providing the highest level of service and good practice to all internal teamsand external customers.

• To provide support to other departments within the organisation as required.

• To work within the Quality Management system - ISO:9001

• To ensure all data is secure and protected and confidentiality is maintained at all times.

• To provide a comprehensive cover service in the absence of colleagues.

• In addition to the job requirements as stated above; any other duties that might reasonably be asked of the post holder.

KNOWLEDGE, SKILLS AND BEHAVIOURS

• Knowledge of Xero very helpful

• The ability to deliver consistent excellent customer service.

• To be confident and able to effectively build relationships with customers and stakeholders.

• To be able to work to the highest standard of accuracy and attention to detail.

• Be IT literate with a working knowledge of MS Office and Outlook

• Good level of literacy and numeracy

• Good level of communication verbally and written.

• To have a proactive approach to problem solving and a 'can do attitude' to work.

• The ability to see the 'bigger picture' and the consequences of actions/changes.

• To be able to demonstrate initiative

• To be organised, tidy and have a conscientious approach to managing own workload.

• To be reliable, flexible and punctual.

• Can work independently and as part of a team.

The role will require working over 5 days Monday to Friday ideally 9am to 5pm though some flexibility will be considered for suitably experienced people who may have childcare or similar requirements.
