The Role:
We are seeking an experienced and proactive Executive Assistant to provide comprehensive administrative support to the Managing Director (MD) and Finance Director (FD) and, occasionally, to the Senior Management Team. This position involves coordinating essential business functions, including diary management, meeting organisation, and action tracking. You will play a critical role in ensuring smooth operations, supporting board and executive meetings, and handling various administrative tasks essential for the leadership team's success.
This role will require a high level of organisation, confidentiality, and the ability to manage multiple tasks and priorities simultaneously, ensuring that the MD and FD have the support they need to focus on driving the business forward.
Key Responsibilities:
* Provide key administrative support to the MD and FD, including diary management, meeting organisation, and travel arrangements.
* Collate meeting packs, take notes, produce formal minutes, and manage action tracking for various meetings such as Board, Advisory Board, and Executive meetings.
* Assist with generating, reviewing, and collating presentations and reports as required.
* Manage correspondence by screening calls, inquiries, and requests, dealing with them appropriately.
* Liaise with the Receptionist and Group Executive Assistant regarding diary management for the Executive team.
* Facilitate customer visits, ensuring all on-site requirements are met in coordination with the Receptionist and security team.
* Provide occasional support to the wider Executive team as directed by the MD.
* Assist with research tasks and follow up on actions for the MD and FD as needed.
* Support PR, Marketing, and internal communication activities as required.
* Manage travel arrangements, including compiling travel packs and monitoring passport and visa validity where necessary.
* Handle expense management, car services, and general maintenance.
* Coordinate senior-level recruitment interviews in collaboration with HR.
* Administer and coordinate company car requirements and private medical cover with the Group Executive Assistant.
* Manage various administrative tasks such as parking allocation, apartment inspections, and compliance with company car policies.
Skills and Qualifications:
* Proven experience in providing secretarial and administrative support to senior management.
* Advanced proficiency in Microsoft Office Suite, including Teams, Outlook, Word, Excel, and PowerPoint.
* Excellent organisational and multitasking skills, with the ability to prioritise and manage time effectively.
* Strong interpersonal and communication skills, with the ability to collaborate and influence at all levels.
* Attention to detail and a proactive approach to problem-solving.
* Educated to Degree level
Security Clearance Requirement: Due to the nature of the business and security considerations, this role is only open to UK nationals born in the UK. Applicants must meet stringent security clearance criteria, including Right to Work in the UK and security clearance restrictions.
Please note that candidates with dual nationality or those born outside the UK cannot be considered for this position.
