The Role -

Working in the HR team and reporting to the Head of HR, the IT & Office Coordinator is responsible for assisting with agency operations to ensure smooth running of our on and off boarding and office operations. Ad-hoc tasks assisting the HR and Finance department will also form part of the role. This is a varied role which will give insight into all aspects of the business.

Tasks and Responsibilities -

On-boarding & Off-Boarding:

  • On boarding all new staff with appropriate IT access and equipment needs to ensure a new starter has everything they need for their first
  • Managing building security and
  • System administration for various platforms such as; Employee Benefit portals, etc.
  • Be the first point of calls for new starter operational
  • Book laptop setups with IT for new

IT Operations -

  • Manage the IT system to ensure accounts are on-boarded and off-boarded when required and staff have relevant
  • Approve employee requests for changes in
  • Escalating any IT issues with the Shared Service IT to resolve any issues alongside the wider Ops
  • Manage the master inventory list for IT equipment to ensure assets are tracked.
  • Support Technology team by project managing Client Audits for security and
  • Support business units in managing Business Continuity planning/Disaster
  • Run weekly timesheet reports and work with employees to ensure these are completed each week.
  • Order and submit monthly credit card statements according to audit
  • Create, update and edit intranet
  • Audit systems for access control g. Office door access, server access, Mobile phone usage.

Office Operations -

Raising facilities and building services issues on the appropriate platform to report and resolve any office requirements such as meeting room requirements, Air-Con issues and ad-hoc

  • Maintaining foreign visitor log for HMRC
  • Manage, order and re-stock stationery and office supplies.
  • Assign and document locker
  • Welcome visiting clients when required to ensure they receive a 1st class service
  • Liaising with vendors such as setting employees up with restaurant lunch subsidies or courier office
  • Ensure office is kept in order ready for client visits

HR Operations -

  • Updating the health and safety portal 'WorkRite' with on-boarding and off- boarding employees and acknowledging, monitoring and resolving any issues with the support of the wider HR team.
  • Support wider HR team in coordinating employee engagement activities such as monthly drinks, quarterly parties and weekly chocolate
  • Assist team in ensuring all trackers and HR systems are kept up to

Qualifications & Experience -

  • 2 years Office Admin experience.
  • Experience with general office and IT
  • Exposure to projects such as Business Continuity Planning (preferred not essential).
  • Highly organised and motivated self-starter.
  • Confident to work independently but also collaboratively with a wider
  • Able to be the first point of call for all queries whilst remaining
  • Excellent customer service
  • Flexible and adaptable in the face of new challenges and queries.

Salary £30,000 - £35,000 including fantastic benefits
