The Job Role:

We are delighted to be exclusively working with our client as they recruit a Manager of Executive Office to join their team, directly supporting the Group Chief Executive. The successful candidate will also provide support to the People and Culture team, as well as providing administrative assistance to the Board of Trustees.

This exciting opportunity will be varied and fast-paced, and is well suited to candidates who already have extensive experience working as an Executive Assistant/Personal Assistant/Senior Administrator. Directly working with the Group Chief Executive, the successful candidate will provide extensive diary management to ensure the day-to-day workload is effectively planned and always ensuring best use of time. This role will involve liaising with key stakeholders and staff on behalf of the Group Chief Executive and experience of this would be advantageous.

This critical role sits right in the centre of our client's organisation and as such, the successful Manager of Executive Office will enjoy a fast-paced and varied role. Key responsibilities will include the following;

* Direct inbox management on behalf of the Group Chief Executive this will include managing meeting requests, organising logistics and confirming meeting details

* Shadowing the Group Chief Executive at meetings taking minutes and proactively following up where appropriate

* Assisting the Group Chief Executive with responding to document requests, passing on information, setting up meetings and arranging travel

* Liaising with internal department as required including managing press enquiries, requests for blogs

* Booking travel and hotels, sourcing the most appropriate and cost-effective options in line with budgetary restrictions

* Planning the schedule and agendas of regular SLT meetings and away days

* Organising company activities including team away days and the Christmas party

* Coordinating the weekly company communication news update

* Providing administrative support to the People and Culture Manager when required

* Ensuring Board meetings are scheduled

* Preparation of Board and Committee papers ensuring agendas, action logs and reports are issued

* Attending Board meetings and taking minutes

* Standardising, reviewing board papers for grammatical accuracy and consistency before distribution

* Other administrative duties as directed by the Group Chief Executive, SLT or members of the Board

We would love to hear from candidates who have the following skills and experience;

* Experience working as a EA/PA or Senior Administrator

* Confident working closely with and providing support to senior level members of staff and stakeholders

* Thrives working within fast-paced and innovative environment

* Ability to manage competing demands from staff and/or stakeholders with conflicting deadlines and minimal support and instruction

* Ability to handle a wide variety of tasks, at a fast pace, with specific and complex requirements and details

* Confidence managing sensitive and confidential information

* Experienced in minute taking

* Familiarity with business reports and papers

* Confidence working in a standalone role where self-management and independent working are key

* Experienced in managing large-scale meetings with 65+ attendees

* Highly organised with excellent time management skills

* A great team player who is able to build respect and trust across the organisation

* Exceptional communication skills

* Strong writing and proof-reading skills

* Confidence using IT including the preparation of documents and presentations

* Confidence to manage a very busy Chief Executive Officer
