Purpose of the Role:

The CAFM System Manager will coordinate the Facilities Management activities through the administration of the Computer Aided Facility Management (CAFM) system, ensuring that all reporting and data analytics support all FM requirements. The CAFM System Manager will be responsible for managing and maintaining the system's infrastructure, software applications, and future development to enhance the system and improve services. The role involves ensuring the reliability, security, and performance of the system and providing technical support to end-users.

The CAFM System Manager will need to be the main support contact between Invida and Stonegate, managing service tickets, development tickets, and error or issue resolution tickets.

The role will be responsible for collecting, analysing, and interpreting data to provide actionable insights for decision-making. This will involve working closely with stakeholders to understand reporting requirements, conducting data analysis, and presenting findings in a clear and understandable manner. The role requires a team player who can administer a system but excels at turning detailed data into industry-leading insight dashboards for users across multiple levels of the business, with the desire to work in a fast-paced environment.

The role will be expected to work autonomously within a set framework and procedures and contribute to developing and improving these. The role holder will require the ability to provide advice and guidance to others, work collaboratively, and may require the ability to lead and manage in a matrix structure. There will be a need to balance competing priorities.

Key Responsbilities - Duties and responsbilities:

    Manage and maintain the system's infrastructure, software applications, and future development to enhance Property services. Monitor system performance and troubleshoot issues, ensuring optimal uptime and reliability. Manage user accounts, permissions, access controls and training requirements. Document system configurations, procedures, and troubleshooting steps for knowledge sharing and training. Ensure security measures are in place to protect the system and comply with business policy. Plan and execute system upgrades, patches, and migrations in coordination with stakeholders. Ensure the framework of processes, procedures, and governance are optimal for the system. Identify key areas of continuous improvement and implement changes to align with business requirements and improve effectiveness and efficiencies. Perform regular backups and disaster recovery procedures to safeguard data integrity.

Skills, Experience and Qualifications:

    Proven experience as a system administrator or in a similar role, with a strong understanding of IT infrastructure and systems management. Proficiency in CAFM software, database management, and data visualisation tools. Experience as a data analyst or in a similar role, with a strong track record of data analysis and visualisation. Experience with data visualisation tools such as Power BI. Strong analytical and problem-solving skills, with the ability to translate complex data into actionable insights. Excellent communication and presentation skills, with the ability to convey technical information to non-technical stakeholders. Ability to work independently, prioritise tasks, and thrive in a fast-paced environment. Attention to detail, ability to work independently and as part of a team, and a commitment to continuous improvement. Effective troubleshooting and problem-solving skills, with the ability to analyse complex issues and implement solutions. Excellent communication and interpersonal skills, with the ability to collaborate with cross-functional teams. Commitment to continuous learning and professional development.
