Building Manager-Harlow Full time, Permanent
ROLE: You will overlook the entire management of a residential property building, consisting of private residential tenants.
You will be responsible for controlling budgets, increasing revenue, handling the continued success of the business. The role will allow you to have autonomy in your day-to-day work whilst still having secure backing from Head Office and Senior Management. As a result, you must be an experienced, reliable, trustworthy Manager with a love for the property industry. You will have experience in a similar role and have working experience of working on a residential site. Ideally have an Institute of Residential Property Management Qualification (IRPM)
REPORTS TO: Regional Manager
REPORTS IN: Maintenance Operative, Residential Cleaner
SALARY: £30,000 to £35,000 per annum
HOURS: Monday - Friday, 9am - 6pm.- Availability for Call Outs
DUTIES INCLUDE:
- Managing site office
- Liaising with partner organisations
- Maintaining a safe environment with lighting, signage and disability access
- Drafting and updating emergency plans and evacuation procedures
- Meeting tenants and coordinating move-ins / move outs
- Ability to pragmatically resolve issues as and when they arise, ensuring strong procedures are in place to deal with various scenarios
- Investigate any breaches in tenancy agreements and disputes or complaints
- Supervision of Staff: To ensure the duties of any staff are carried out in accordance to their specific job descriptions and contracts of employment to the required standard.
- To ensure the correct behaviour of all staff, implement the relevant training, ensure staff maintain a professional appearance at all times and to report any misconduct directly to Head Office
- To instigate the appropriate disciplinary action in consultation with Head Office as appropriate.
- To prepare all staff rotas to ensure all shifts are adequately covered, together with Holiday & sickness cover.
- Contractors: To ensure that all cleaning to the communal areas is being carried out in accordance with the terms of reference.
- To ensure that all contractors employed complete all jobs to a satisfactory standard and within timescales specified by either the Regional Manager, or Head Office
- General: Ensure that contractors comply with requirements regarding; Health & Safety, Parking, Disposal of Refuse, Limitation of working hours.
- Health & Safety: To ensure that all site-specific Health & Safety requirements are adhered to e.g. maintain an approved Accident Book, ensuring all incidents are reported & investigated as appropriate etc.
- Fire Prevention: Carry out an ongoing review of fire prevention matters and ensure that staff, contractors and residents comply with the requirements under current legislation.
- To carry out testing of fire alarm system on a weekly basis to include ensuring all zones are covered on a rotation basis. To ensure staff fire training is up to date and to keep all appropriate records.
- To ensure that all fire doors are kept closed and fire escapes and exits clear at all times from obstructions or unauthorised items
- Traffic Management: ensure that all car parking spaces within the car park are regularly patrolled to ensure residents, visitors or contractors park in the spaces allocated to them.
- Key Control: Maintain a key control system to ensure the safekeeping of both residents and building keys at all times; to ensure that key disclaimer forms are completed prior to the release of keys to a third party.
- Office Administration: Ensure that adequate records are kept of all residents, security issues, Health & Safety breaches or issues, together with all maintenance schedules
- Head Office: maintain contact with Head Office to advise them of all relevant issues, but in particular: all emergencies, health and safety issues, breaches of the lease, serious defects, any matter likely to be the subject of formal complaints, breaches of discipline by any member of staff, all breaches of contract by any contractor. To supply details monthly of overtime returns and staff absences
- Inspections; To ensure that regular inspections (at least once daily) are made of the building to check maintenance, security, Health & Safety issues etc.
- Working with Property Managers on daily/weekly basis and working through their various issues including Legal, returning property etc.
- To work closely with maintenance department and ensure quick turnaround on all maintenance issues and that tenants are receiving the best customer service and living in good quality habitable conditions
- Ensuring checklists are followed for: signing up a property/tenant and returning a property. As well as on going PM issues such as dealing with credit control or legal issues.
- Checking all planned maintenance visits are completed on time & to a good standard, before & after photos are provided where required
- Updating residents of on-going maintenance in or around their properties
- Making sure we hold valid Gas Safety Certificates, Electrical Certificates and Energy Performance Certificates on file for properties across portfolio
FINANCE
- Overseeing financial performance of portfolio and ensure there is a low void rate and high collection rate
- Working with Credit Control and Accounts Team to ensure we obtain high collection rate
- To act in the best interests of the Company and maximise the profitability of each Property
- To be familiar with the Company's terms of business
- To estimate profit levels on all properties and ensure their deliverability with minimum back end cost
- To ensure that any property costs are kept to a minimum and authorised prior to works being conducted. All major works require authorisation from Regional Manager
- To liaise with the accounts department on a monthly basis to establish the level of arrears and the collection rates.
- To ensure the profitable running of each property through the accurate assessment of the Company resource required to meet the needs of your property portfolio
- To demonstrate a clear understanding of financial issues and their implications on Caridon's business overall
GENERAL
- To contribute to the strategic direction of Caridon
- To carry out specific tasks required by your Regional Manager
- To facilitate good relationships across all departments and sister companies
- To bring to the attention to your Regional Manager any significant changes in the Tenant or Property owner relationship
- To demonstrate and actively encourage a good team spirit, positive environment and motivated department at all times
- To be approachable and empathetic to the sales, finance and maintenance teams
- To be responsible with your time keeping at all times
- Availability on weekends as and when required.
