Secretary to Business Services Department required in London

Role overview

The successful candidate will provide secretarial support to the business advisory partners. They will also be required to provide support to the company secretarial department and cover other departments as necessary. Job description


• Providing secretarial and administrative support to designated partners
• Drafting invoices
• Arranging meetings and appointments
• Courier arrangements
• Answering incoming/Internal calls and taking messages
• Company Secretary Support, assisting the department with all administration including scanning, courier arrangements and photocopying
• Create, maintain and enter information into database
• Request monthly bank audit letters to banks via confirmation.com platform and update/maintain the database.
• Email correspondence to clients.
• Operate electronic mail system and co-ordinate flow of information internally, and with other organisations.
• Open, route and distribute income mail to staff members.
• Creating new Letters of Engagement and Appendices.
• Preparing Work In Progress (WIP) reports on billing activity to Directors/Partners.
• Organise appraisal meetings for staff and booking training meetings with manager/partners for students.
• Typing of emails, files and meeting notes for partners.

Working arrangements

The working week: 35 hours per week / (Monday-Friday) to be worked from 09:30-17:30 with flexibility of hours to meet specific work demands.

Person specifications - Desirable experience and skills


• Previous secretarial experience in a professional services firm (Ideally)
• Previous experience assisting with company secretarial support will be an advantage, but not essential if the successful candidate is willing to learn.
• Some previous experience of accounts typing in a professional services firm ( Advantage but not essential)
• Proficient knowledge of Word and some knowledge of Excel. (Essential)
• Good telephone manner (Essential)
