Are you an experienced Receptionist looking for an exciting new opportunity to showcase your organisational skills and client focused approach?
We are recruiting for a receptionist for a long-established legal firm with multiple offices in Bristol. Their teams of solicitors, specialise in Conveyancing, Family Law, Personal Injury, and Wills and Probate, and pride themselves on delivering first-class personal service to their long-standing local client base. They are seeking a professional and friendly Receptionist to join their team in the Kingswood office.
Your expertise will play a crucial role in ensuring smooth daily operations by providing comprehensive reception cover and administrative support. You will act as the first point of contact for clients and visitors, delivering exceptional customer service and performing a variety of administrative tasks to support fee earners and office staff.
Key Responsibilities:
* Provide reception cover during office opening hours and attend to clients and visitors.
* Manage all incoming calls for all offices, directing inquiries and taking messages as needed, promptly returning calls and voicemails.
* Schedule appointments for clients as directed by fee earners.
* Copy, scan, print and send emails, letters and attachments and handle all other typing tasks.
* Manage the daily incoming and outgoing post.
* Certify and upload client identification into the case management system.
* Perform accuracy checks on documents for client signatures and ensure they are correctly signed and dated.
* Manage cash and cheque payments, provide receipts, and undertake banking tasks as required as well as chasing payments where required.
* Close files, ensuring all documents are accounted for, bills are paid, and ledgers are clear.
* Chase external parties to support progression of cases .
* Essential and Desirable (D) Skills Required:
* Clear, professional, and courteous communication with clients and colleagues and ability to calmly and compassionately handle distressed clients.
* Ability to create a welcoming and helpful environment.
* Handle sensitive information discreetly and empathetically.
* Reliable and punctual, ensuring efficient office operations.
* Flexible and able to adjust to the dynamic needs of a high street law firm.
* Manage phone calls, client interactions, appointments, and document handling efficiently.
* Proficient in Word, Excel, Outlook, legal case management software and handling multioffice phone systems.
You will receive a basic salary of £24,000 and 33-days holiday inclusive of the Bank Holidays, with discretional Christmas shut down. Working within a supportive and family focused team. Experience working in a legal firm or other professional practice is preferred but not essential.
