Blue Arrow are currently recruiting for a dedicated and detail-oriented Temporary Assistant Business Manager for our public sector client based in Edinburgh. This role is crucial in supporting our clients mission to fulfil its statutory obligations and execute its comprehensive work programme. The successful candidate will undertake a variety of essential administrative tasks, ensuring the smooth operation activities.

Key Responsibilities:

Inbox and diary management: Efficiently manage the Secretary's inbox and diary, coordinating and prioritising key tasks that require the Secretary's attention.
Meeting Support: Take accurate minutes of meetings, ensuring all discussions and decisions are well-documented.
Correspondence Handling: Track incoming correspondence and draft routine replies, maintaining clear and professional communication.
Document Preparation: Collate, print, and distribute meeting papers, ensuring all necessary documents are available for Council members.
Records Management: Maintain Council records by naming and filing documents in accordance with the established records management plan.
Event Coordination: Organise administrative and logistical arrangements for Council and committee meetings, as well as visits and events involving Council members and staff.

Skills and Experience:

Executive Assistance: Proven experience as an executive assistant or personal secretary, demonstrating the ability to support senior management effectively.
Time Management: Strong ability to manage your own time and prioritise a varied workload to meet set deadlines, targets, and standards.
Communication: Excellent communication skills, with the ability to interact confidently and effectively with individuals at all levels, both internally and externally.
Organisational Skills: Effective planning and organisational skills, ensuring all tasks are completed efficiently and to a high standard.
Written Work: Experience in drafting clear and accurate written work, showcasing attention to detail and precision.
Technical Proficiency: Proficiency in using Microsoft Word, Excel, and PowerPoint to create and manage documents and presentations.
Budget Management: Experience in managing a budget, ensuring financial resources are used effectively and responsibly.
Experience of acting as an executive assistant/personal secretary
Ability to manage own time and prioritise a varied workload to meet set deadlines, targets, and standards.
Ability to communicate effectively and confidently with people at all levels, both internally and externally.
Effective planning and organisational skills.
Experience of drafting clear and accurate written work.
Experience of using Microsoft Word, Excel, and PowerPoint
