Role Summary

The role of the Head of Operational Estates administration & Probates is to be responsible for defining and delivering the business, financial, operational and service objectives, managing a team of specialists to ensure performance indicators are achieved within process, regulatory and approved benchmarks and growth opportunities secured.

The primary focus is to deliver Estates Administration Services to corporate clients in line with industry standards, regulatory rules and individual client requirements. You will manage a team that specialise in handling complex and high-value estates, ensuring that the right resource and skill set are assigned to each process or task to provide the right result. As part of this you will be expected to focus on planning, budget management & resource management to see BAU processes, projects and ad-hoc tasks through. This role is heavily focussed on problem solving and finding creative solutions to a range of challenges ranging from people management to the highly specialised and technical Estates process.

Core Duties/Responsibilities

  • Client relationship management: To act as the key client contact, providing operational relationship management via monthly governance, through the provision of expert knowledge to influence operational outcomes and ensuring service levels are in place and adhered to.
  • Business Risk: Ensure the operation remains compliant with all best practice standards and reporting requirements, together with all relevant regulatory and statutory requirements.
  • Team engagement: Within a legal and administrative support team of c45 staff, lead a team of 9 experienced Estate Managers across two locations, creating a culture of highly engaged colleagues.
  • Team Performance: Manage data collection for the updating of metrics to achieve productivity targets, reduce cost per unit, eliminate errors, and deliver excellent customer service. Defining operational performance KPIs and ensures on going efficiencies on productivity to SLA, KPI requirements are achieved.
  • Team Capacity: Responsible in overseeing the Estate Administration Service from start to end. Conduct initial case assessment, coordinating case workload to optimise case allocation and assignment within the team. Managing the team's capacity levels and provide supply vs demand reporting.
  • Team Development: Ensure that staff are appropriately trained, deployed and motivated so that their performance meets the current and future needs of the business, actively coaching and developing all direct reports.
  • Change Management: To successfully lead the delivery of regulatory and client led change, ensuring that requirements are understood and defined, appropriate operational assessment undertaken, suitable solutions and proposition presented and agreed with stakeholders and change management strategies and planning applied to ensure successful execution and adoption.

Skills, Capabilities and Attributes

  • STEP TEP (Trust and Estate practitioner) qualification is a must.
  • Comprehensive understanding and ability in the area of Wills and Probate.
  • Detailed knowledge of inheritance tax rules, accounting, and procedures, as well as Income and Capital Gains Tax compliance in estate administration.
  • Proven experience in administering complex and high-value estates.
  • Client service focused.

  • Strong analytical skills with ability to identify root cause(s) and continuous improvement initiatives.

  • Expert operational understanding and experience in customer service/client support servicing initiatives and strategies
