About the role

The Office Manager is responsible for the daily management, administration and delivery of all operations in the school/site in order to ensure that they are accomplished in an effective and efficient manner and within policy/procedural guidelines.

Core accountabilities:

To ensure the smooth day to day running of the Office teams across the split site school

To oversee and co-ordinate the arrangements for First Aid across the school

To work closely with relevant members of the Hatcham Leadership Team to ensure that administrative tasks relating to whole school calendar are carried out in an efficient and timely manner

To maintain a flexible approach to service delivery.

To provide assistance and support to Administrative Officers in order to enhance their development.

To Line Manage a team of Administrative Officers to support the College including delegating and allocated workloads as needed.

To develop and maintain accurate information within the school’s data management systems and other electronic/manual filing systems

To ensure the accurate record keeping systems relating to student medical needs

To work closely with other members of the wider support staff team to support the smooth running of the school

To develop a customer services culture within the team, that exceeds customer/stakeholder expectations

To ensure that confidentiality within the team is maintained and that direct reports understand the scope of data protection legislation/ GDPR in the workplace.

To establish practices to ensure quality control of minutes, reports, letter and other documentation

To keep up to date with all the policies and procedures of the as they impact on this post or as they impact on all employment matters.

To respect and actively promote equality of opportunity in line with the policy of the College.

To respect support and actively promote the vision & ethos of the Federation. To act as a positive representative of and ambassador for the Federation in its contacts with outside bodies and organisations.

To cover for absent colleagues as requested by the line manager within the areas of the posts remit and if required

To undertake any other duties as required within the grading and remit of the post and to actively assist to cover staff sickness or other absences as required by the line manager.

Engage in relevant externally accredited programmes and apprenticeships

Attend appropriate training and development opportunities and keep up to date with current educational developments and legislation affecting Initial Teacher Training and development of educational practitioners and leaders

Reciprocally share expertise and skills with others in the Trust and outside the Trust, to ensure best practice, consistency in business support and ongoing improvement
