My Client., a Hospital based in East Grinstead, are seeking an Executive Assistant to provide a comprehensive administrative and business support service for Executive Directors and their teams. This role is integral to the smooth operation of the directorates and requires a candidate who can handle sensitive information with discretion and initiative.

Day-to-day of the role:
  • Provide confidential support, dealing with sensitive information regularly and communicating with staff at all levels.
  • Build and manage relationships with key individuals and groups.
  • Prioritise mail, manage complex diaries, and resolve day-to-day issues using sound judgement.
  • Research and present information for executive directors, analysing and summarising complex data.
  • Plan and organise events, meetings, and workshops, ensuring all materials and logistics are handled efficiently.
  • Administer meetings, distribute papers and agendas, and take formal and informal minutes.
  • Respond to correspondence, draft replies, and collate reports from various sources.
  • Collaborate with other executive assistants to manage priorities and workflow effectively.
  • Provide cover for other executive assistants as needed and train new staff on systems and procedures.
  • Support internal and external audits by providing necessary information and files.
  • Update information on the Trust’s Intranet and website, maintaining communication databases and electronic filing systems.
  • Maintain absence, appraisal, and training records for Directors.
Required Skills & Qualifications:
  • Advanced IT skills with proficiency in Microsoft Office and other relevant software.
  • Strong written and verbal communication skills, with the ability to handle confidential information.
  • Experience in administrative roles, preferably within the NHS or a similar environment.
  • Ability to work autonomously and prioritise effectively.
  • Experience in event planning and meeting administration.
  • Familiarity with electronic filing systems and maintaining records.
