An exciting opportunity has arisen for an Executive Assistant/ Office Manager to join a London based University. The post holder will provide high level executive support the Director of HR and Senior Leadership Team and will manage the effective running of the HR office.
Job responsibilities include:
- Manage the Director’s and SLT diaries, arrange meetings, travel, accommodation, and process expense claims
- Brief the Director on meeting agendas, coordinate meeting logistics, circulate papers, and take minutes as needed
- Provide secretariat support, including taking minutes and tracking actions for University Committees
- Manage departmental changes, such as office moves, Smart working, and audits, coordinating HR SLT support as needed
- Serve as a contact point for internal and external queries, offering guidance and redirecting complex inquiries
- Handle delegated Agresso approvals, prepare records, process invoices, and monitor the budget
- Type confidential documents, maintain electronic filing systems, format presentations, and take meeting notes
- Update and maintain SharePoint pages, ensuring compliance with University branding and record-keeping standards
- Manage office equipment, data storage, filing systems, and monitor stationery stock
Candidate profile:
- Substantial experience Personal Assistant role to a member of senior management in a large and complex organisation
- Track record in developing effective office management systems
- Experience of electronic diary management and managing a demanding and complex workload
Hourly rate: £27
Contract length: until 24th December 2024, subject to further extensions
Location: London (hybrid working)
