Optimise by Recruitment are working alongside a Global Organisation on the hunt to find an Internal Sales Administrator to join their team!

As an Internal Sales Administrator, you'll support the back-office sales function by managing tenders, quotes, and administrative tasks. You will ensure that all sales processes follow internal procedures, provide assistance to field sales and colleagues across departments, and maintain high customer service standards, contributing to the seamless operation and success of our sales efforts.

Roles and Responsibilities

Documentation

* Maintain and improve internal documentation processes.

* Compile and update reports/schedules using software such as Microsoft Office, sharing information with colleagues as needed.

* Liaise with production to ensure accurate internal and external planning data and effective communication.

* Take ownership of the Internal Commercial Sales Process.

* Accurately and effectively enter information into the CRM system.

Customer Service

* Establish and uphold excellent customer relations professionally and efficiently.

* Resolve Field Sales and Customer inquiries regarding project/quotation status and provide accurate feedback.

* Maintain high standards of customer service skills and computer literacy.

Tender and Quotes

* Ensure timely and accurate completion of internal Commercial sales process tasks.

* Issue/check PQQ, tender, and quotation documentation within specified time frames.

* Identify tender and framework opportunities for the company via trackers, the European Journal, and other sources.

* Follow workflow processes to compile and deliver quotations and manage the Sales process effectively.

* Process new orders, confirm specifications, and issue order confirmations.

* Schedule demonstration vehicles, coordinating movements and specifications.

* Assess, generate, and deliver relevant information for customer tender processes.

General

* Follow oral and written instructions on assigned tasks.

* Participate in the planning and coordination of new products from supplier to end user.

* Maintain office equipment in good condition and availability.

Quality & Environmental Responsibilities

* Manage, comply with, and maintain quality & environmental procedures, records, and documents related to the role.

What We're Looking For

Knowledge

* Understanding of documentation systems and processes (Essential).

* Familiarity with project management principles and ability to prioritize tasks effectively (Essential).

* Knowledge of tender processes (Essential).

Experience

* Experience managing internal documentation, including updating and optimizing processes (Essential).

* Proven record of maintaining high standards in customer interactions and handling inquiries effectively (Essential).

* Experience with CRM systems and digital tools for accurate information management (Essential).

* Background in sales or sales support, managing internal sales processes (Essential).

* Tender writing experience (Desirable).
