Our client, a dynamic and innovative creative agency, representing a global roster of talented artists, is looking for a Financial Administrator to join their team. You will play a pivotal role in maintaining meticulous financial records and optimising operational efficiencies across the diverse business operations.

With a flexible remote working arrangement and occasional office visits in Brighton, you'll manage payments, invoices, and receipts, reconcile invoices in multiple currencies, and ensure timely debtor payments. Your role will also involve preparing financial statements, monitoring bank accounts and online payment platforms, managing VAT returns, and generating insightful financial reports.

Duties and Responsibilities in this Financial Administrator role:

  • Process payments, invoices, and receipts accurately using accounting software (Xero) and maintain corresponding hard copy records.
  • Reconcile invoices in multiple currencies and oversee artist self-billing process including managing roll-over payments and applying deductions accurately.
  • Manage debtor payment schedules, ensuring timely invoice payments and effective management of overdue invoices.
  • Prepare financial statements depicting business income, expenditure, profit, and loss.
  • Monitor UK Sterling and US Dollar bank accounts including balances and transfers.
  • Monitor UK PayPal, US Dollar PayPal, and Stripe Accounts.
  • Manage quarterly VAT returns and support Company Directors with year-end accounts.
  • Generate reports on various financial metrics and conduct regular checks to ensure accuracy of business accounts, promptly alerting Company Directors to any anomalies.
  • Process employee expense claims and receipts.
  • Assist accountants with administrative duties in preparing yearly accounts.
  • Conduct audits, investigate, and resolve client account issues.
  • Develop business processes and contribute ideas to streamline procedures.
  • Undertake additional non-financial administrative tasks as required.

About you:

  • Demonstrated proficiency in comprehensive bookkeeping and proficiency in Xero Accounting.
  • Proven ability to identify and implement process improvements to enhance existing bookkeeping practices.
  • Strong attention to detail and exceptional numeracy skills, capable of analysing and presenting statistical information confidently.
  • Proactive problem-solving skills, well-organised, and self-motivated with a proactive 'can-do' attitude.
  • Effective communicator across various platforms: phone, in-person, and online.
  • Structured and methodical approach to work, adept at meeting deadlines, exercising initiative, and planning ahead.
  • Quick learner adaptable to mastering new and complex data management tools.
  • Flexible attitude towards work, capable of handling both financial and administrative tasks as required.
