The Wolseley Hospitality Group's Head Office is located above The Wolseley on Piccadilly. It comprises The Director’s office alongside People, Talent & Culture, Finance, Purchasing, Marketing and Reservations.

Purpose of the role:

To efficiently oversee all aspects of Office reception management at the Head Office, demonstrating excellent communication, organisation and flexibility. As the Head Office Co-ordinator you are the first point of contact for the businesses ensuring the highest levels of service to employees, visitors and suppliers coming to the office. To oversee internal communications management, contacts and distributions lists. Demonstrating at all times the highest standards of professionalism, cooperation and hospitality in keeping with the company culture.

Key Responsibilities:

  • Meet and greet clients, visitors and employees, ensuring applicable members of the team are made aware of their arrival
  • Answer all incoming calls, routing calls to the appropriate department, taking and passing on relevant messages
  • Filtering sales and unwanted calls, forwarding them onto relevant enquiry email addresses
  • Oversee the reception area, and general office area, ensuring it is kept clean and tidy at all times
  • Ensure the offices run smoothly, any maintenance issues are reported and addressed in a timely manner
  • Responsible for franking machine and outgoing mail for building, maintain monthly postage usage for Accounts department
  • Provide general administration support and correspondence as requested
  • Support with the management of the external storage locations used by the business – where possible ensuring an effective itinerary is in place for each location
  • Assist Property Management and Facilities Management in the busy office environment.
  • Supporting with / coordinating IT contractor visits and user needs
  • Support the Facilities Manager in the management of the building ensuring compliance with all H&S and Fire legislation at all times, ensuring fire checks carried as per fire safety management guidelines
  • Effectively support the Facilities Manager any office / desk relocations or set up / design ensuring accurate costings and timetable of implementation adhered to and ongoing updates provided
  • Effectively manage the Cleaning Company for the building, ensuring the cleaning standards are adhered to

What we’re looking for in a Head Office Coordinator:

  • Currently be in a reception or administrative role with excellent telephone skills
  • Be highly organized, multi task and prioritise effectively

  • Have the ability to communicate effectively at all levels

  • Have a good command of spoken and written English
  • Be extremely organized and be able to remain calm under pressure
  • Have good knowledge of Word / Excel / Outlook
  • Ability to take initiative and responsibility when required
  • Be a good team player, well-presented and enthusiastic.
  • Have excellent customer service skills
