Description

Creating and developing a centralised client and matter inception
function, producing processes and procedures and practically
implementing them across the business.
 Creating new clients and matters on the Practice Management System
in an efficient and compliant way to facilitate an excellent client
experience.
 Reflect our values when liaising with clients to obtain necessary
information, by making sure they feel looked after during the process.
 Efficiently and effectively liaising with colleagues throughout the
business to coordinate and deliver a high level of service to clients.
 Reviewing existing client data to advise legal and tax colleagues of any
missing information to ensure exemplar compliance.
 Identifying opportunities for improvements in existing processes and
system functionality to enhance the firm's new client and matter
inception (CMI) process. Work with Business Change, Compliance and
IT colleagues to ensure timely implementation.
 Providing client inception reporting to the legal and tax colleagues to
ensure effective prioritisation and efficient client onboarding.
 Ensuring the quality of data entered into the systems is of an excellent
standard to satisfy the requirements of Law Society of Scotland, HMRC
and Information Commissioner.
The above list is not exhaustive and additional duties will be allocated as
appropriate.

Profile

Work is assigned and reviewed by Head of Risk & Compliance. The Head
of Business Change and Office Services will assist the initial development
of the function.
KNOWLEDGE/ SKILLS
Experience  Excellent communication and organisation skills with the ability to
communicate effectively and directly with clients and colleagues at all
levels is essential, both written and verbally.
 Experience of working in a similar role within professional services is
desirable.
 Ability to prioritise work to meet deadlines and multi-task.
 A high attention to detail and excellent record-keeping.
 Strong analytical and problem-solving skills.
 The ability to work unsupervised and be self-motivated.
